Warehouse Coordinator

Position Summary:

Reporting to the Warehouse Supervisor and Warehouse Manager, the Warehouse Clerk is responsible for the tracking and reconciliation of pallets, booking and coordinating the Shipping schedule with customers, and coordinating the QC Hold / Release process.

Major Duties and Responsibilities:

Warehouse clerical:

  • Co-ordinating with Logistic and Customer service team for all the inbounds and outbounds loads.
  • Verify PO and SO numbers, print PO receiver and pick tickets, assign WH operators to receive PO or ship SO.
  • Ship confirms in JDE for all the SO shipped from Plant and 3PLS.
  • Receive all the PO delivered to 3PL from the supplier in JDE.
  • To ensure that all the PO are received correctly in JDE by WH operator.
  • To ensure that FEFO is followed to pick orders by WH operator.
  • Maintain the records of daily fill rate and shipping/receiving logs in KPI.
  • Print incoming daily Incoming Ingredients Report.
  • Print daily shipping appointment schedule calendar.
  • Call carriers for pick-up of drums, recycled cardboard, and scrap pallets
  • Printing / date stamping shipping BOL’s.
  • To co-ordinate with 3PL and the carrier to book the transfer loads from Plant to 3PLs when required.
  • To post the Nestle US shipments and delivery in the Nestle Portal.
  • To send the declaration report to Nestle Canada for all the Nestle Canada shipments.
  • To ensure that COA has been received for all the inbound ingredients loads and follow up with Purchasing Team/supplier if COA is not received.
  • To place the ingredients on WH hold until COA is received.
  • To keep soft copy records of all the inbounds and outbound paperwork’s in WH folder.
  • To maintain of drivers log everyday.

Inventory control / QC Hold

  • Coordination and daily monitoring of the QC hold process
  • Perform cycle counting, ensuring accurate counts Inform supervisor of potential production material problems, including delay in shipment, inventory shortages, damages and errors.
  • Monitoring Certificates of Approval for Raw Ingredients and placing items on Warehouse Hold if the C of A does not arrive with the ingredient.

Other warehouse responsibilities as they arise.

  • To cover WH supervisor/team leader role when needed.
  • To send shift reports on daily basis at the end of the shift.
  • Inspect for quality, quantity and correct material, conformity to existing material already in stock and JDE labelling, if applicable
  • Accurate & timely reporting of all quality issues
  • Follow all proper maintenance, sanitation and Health & Safety protocols always.
  • Maintaining high standards of cleanliness and general housekeeping
  • Integrating all plant, quality, safety, food safety and security policies and guidelines into all day to day. activities on the job.
  • All other work as assigned by duly authorized Supervisor or Manager

Education and Experience:

  • High school diploma or equivalent experience.  

Knowledge and Skills:

  • Able to work as part of a customer service & quality-focused team.
  • Able to perform above duties in a fast-paced environment
  • Able to multi-task, prioritize and problem solve.
  • Good knowledge of inventory control and customer service
  • Able to count, sort, code, and record information as required for inventory control.
  • Good knowledge of GMPs, SOPs, JDE & RF,Health & Safety procedures, including, OHSA & WHMIS
  • Effective interpersonal skills with the ability to work as part of a team.
  • Follow all proper maintenance, sanitation and Health & Safety protocols at all times.
  • Maintaining high standards of cleanliness and general housekeeping
  • Acquire new skills as per training provided.
  • Work cooperatively with co-workers and supervisors as a Quality Focused, Service Oriented Team Player.
  • Solve problems independently as per standard guidelines and procedures.

Typical shifts are 8-12 hours per day.   Additional unscheduled time after hours and on weekends may also be required.  Employees must be willing and able to wear personal protective equipment as required by Company policy and/or legal requirements.  In addition, certain jobs may require employees to:

  • Work outside and/or in adverse temperatures which could include extreme heat, cold, and humidity;
  • Be exposed to vibrations, chemicals used in operations, fumes and food allergens (may include soy, dairy and other allergens); and
  • Be required to work in confined and dark spaces, and at heights in excess of 18 feet.
