A/P & Payroll Associate


Location:  Portland, OR 

Exemption: Nonexempt

Position Summary:

This position is responsible for a multitude of office activities. Primary duties include processing A/P invoices and preparing payroll data and payroll records. Other duties include monitoring visitors, maintaining the security system and issuing ID badges, assisting with HR projects. Responsible for maintaining office supply inventory, including entering purchase requisitions.

4 x 10hr shifts - Mon-Thu

Major Duties and Responsibilities:

  • Verifies all vouchers/invoices before payment, by auditing invoices against purchase orders. Verifies all extensions, prices, and General Ledger account codes are correct, when necessary discusses discrepancies with originator in order to get invoice paid.    
  • Reviews daily all purchase orders and maintains accounts payable files. Answers all vendor inquiries regarding payments, providing follow-up to any questions.    
  • Prepares and submits information to payroll service. Prepares weekly and month-end labor summary/reconciliation.  Also prepares monthly journal entries for non-exempt payroll. Keeps records of vacation, sick and attendance. Maintains payroll files for hourly employees.  
  • Completes verification requests: bank requests for mortgages, employment verifications etc. 
  • Prepare month-end labor summary and reconciliation for HQ. Monitors Direct and Indirect labor.
  • Prepares Quarterly/Annual Hours/Earning Reconciliation. Union Pension/Dues/Insurance Reporting. 
  • Assist with pre-hire process – schedule interviews/pre-employment physical etc.    
  • Compliance: Maintain employee personnel and medical files per Ventura's filing template. Review I-9 documents and maintain files as required. Maintain all employee changes including address, phone, department, job title, status changes and salary changes in ADP and the HRIS system. Provide misc., HR reports as requested. 
  • Sorts, files and distributes daily mail, checks and invoices as required.    
  • Assist in HR function along with various special projects request by Portland Management while maintaining a high degree of confidentiality.
  • Other duties as assigned.

Education and Experience:

  • Associates degree with 2-3 years payroll and accounting experience.                                                                                                                                                                                                                                            
  • Prefer 1 year experience in human resources.                                                                                                                                                                                                                

Knowledge and Skills:

  • Experience with Kronos, ADP and/or Oracle/JDE with be advantageous.                                                           
  • Excellent communication skills, both written and verbal are necessary.   
  • Possess good math skills
