Supervisor Distribution

Distribution

Supervise the operational activities of the distribution center including warehousing, transportation, and the physical distribution of finished goods to customers. Oversee all levels of customer service from order entry to invoicing to processing of credit/adjustments and check requests. Provide operational control of the distribution center while maintaining sales profitability, minimizing expenses, and staying within company policies to meet budget and cost objectives. Support Regional Sales in customer volume, price costing, brokerage, and new product placement.

 

Work with controller to establish and submit an annual operating budget for the facility. Set realistic and challenging operating cost goals. Recommend major capital expenditures for the facility and equipment.
Oversee daily shipping, receiving, storage and handling efforts of all finished goods.  Resolve problems, overages, shortages, damages, and other issues. Research and reconcile discrepancies to ensure adequate inventory levels.
Complete all month end closing requirements. Process A/P accruals, review reports, prepare finished goods/flow thru reconciliation and forward to HQ for review. Prepare vacation and sick leave report and forward to payroll department. Reconcile bank statements monthly, manage petty cash fund through reimbursement, process daily checks received to HQ Cash Manaagement Desk for deposit.
Ensure that facility is maintained to be consistent with operational and sanitary needs that are in compliance with Federal, State and local agency guidelines and established company procedures.  Insure that equipment and labor are deployed properly to assure required service levels.
Enter and/or oversee all purchase orders for branch-transfers, office and warehouse supplies, repairs and maintenance of equipment and facility.
Support, manage, and assist customer service rep in departments pre and post sales activities, including administration of order entry, invoice generation, and sales support functions. 
Process all broker submitted credit/adjustment and check requests. Research and verify all submitted back up prior to getting approval from sales rep. Forward to Regional A/R for AS400 entry.
Oversee all written and phone contact with customers to obtain payment information on past due accounts and short pays. Oversee deduction log to formally track status of all deductions.
Maintain close working relationships with customer service, transportation, production, and sales personnel in all company divisions, to assure that all functions and responsibilities effecting the distribution center are coordinated in an efficient manner.

 

Position Summary:

Provide day to day supervision for all operational activities related but not limited to picking and loading of orders; receipt and unloading of inbound orders; warehousing and storage of stock; housekeeping and sanitation; safety, security and quality assurance for all work shifts in distribution; manage drop trailer yard for accuracy and controls including welcome center check in/out processes; and ensure departmental compliance to all Good Manufacturing Practices (GMPs). Supervise department personnel to achieve accurate and complete orders for shipping, maximum labor efficiency, high quality standards and customer satisfaction. 

Major Duties and Responsibilities:

  • Provide supervision for the daily efforts in receiving, storing and shipping of all finished products. Provide operational support to Sales Coordinator to reconcile any customer complaints that originated out of department. Support Distribution team efforts through the effective utilization of manpower, equipment and facilities
  • Responsible for the rearrangement of stock layout to best accommodate new product, consolidate existing product and recommend improvements in stock layout which would provide the most efficient flow of work
  • Help coordinate, implement, teach and participate in safety program activities to prevent and or reduce accidents. Provide all required safety training
  • Establish and maintain housekeeping and sanitation practices consistent with the requirements of federal, state and local regulations. Conduct monthly inspections to ensure compliance
  • Assist the Manager in the evaluation of warehouse duties in areas of shipping, receiving, order selecting and clerical and make recommendations to reduce non-productive effort in order to increase productivity
  • Select, hire, train and appraise warehouse personnel to attain the highest standards of service and optimum productivity levels. Assure compliance with all published instructions and procedures related to warehousing matters through regular meetings to cover safety, GMPs, etc.
  • Ensures inventory accuracy by providing for the routine completion of location audits, ensures outbound orders are audited outside of customer specific requirements, investigates order shipping errors and develops corrective actions where required. Oversee the scheduling of all inbound and outbound shipments, maintain logs and prepare documents as necessary. Direct the work of shipping office clerical staff
  • Responsible for following all food safety policies, procedures and regulatory criteria including the current SQF code, Good Manufacturing Practices (GMPs), and the Food Safety Modernization Act (FSMA) and associated preventive controls
  • Other duties as assigned
  • Travel may be required

Education and Experience:

  • Associate’s Degree in Logistics, Logistics and Transportation or equivalent experience
  • 5-10 years of experience in Logistics, Logistics and Transportation
  • Supervisory experience in a warehouse environment preferred

Knowledge and Skills:

  • Effective verbal and written communication skills
  • Working knowledge of computer systems including Windows, Microsoft Excel and Word, JDE
  • Hands on working knowledge of distribution, warehousing and transportation disciplines
  • Efficient planning and organization skills, fosters cooperation with and understanding of employees and effective at multitasking and prioritizing

III. Education and Experience            
   
Bachelors degree in Logistics, Warehousing, Transportation field or related equivalent work experience.
Minimum 5 years Distribution Center experience, prior supervisory experience in an equivalent size operation preferred.
IV. Knowledge and Skill Level              
   
Financial skills in budget management and analysis.
Working knowledge of computer systems, RE: Windows, Excel, Word, AS-400, JD Edwards
Effective verbal and written communication skills.
Extensive experience in Personnel Administration for Distribution Center employees.
Working knowledge of Distribution, Warehousing, and Transportation disciplines.
Experience in and working knowledge of Customer Service procedures.
Efficient planning and organizational skills, cooperation and understanding of subordinates, effective at multi tasking and prioritizing.
