Talent Acquisition Coordinator

Position Summary:

The Talent Acquisition Coordinator (HQ) provides proactive administrative support to the Human Resources and Talent Acquisition departments. This position enables the Talent Acquisition function by providing candidate support including scheduling of panel interviews and debriefs, booking candidate travel, ensuring candidates have a positive experience during onsite interviews by greeting them, guiding them to their interview room, etc., and coordinating pre-employment screenings. The TA Coordinator may also provide recruiting support, such as posting requisitions, reviewing and screenings candidates, and recommending candidates to Hiring Managers for consideration.

Major Duties and Responsibilities:

  • Scheduling and Coordinating of all Talent Acquisition activities including but not limited to the interview process, candidate debriefs, candidate travel, and pre-employment screenings.
  • Ensure all necessary information is shared with stakeholders for a seamless interview experience for Hiring Managers, panelists and candidates.
  • Responsible for gathering candidate feedback and compiling it for a successful debrief meeting.
  • Assist the Talent Acquisition team in candidate management across the candidate lifecycle including candidate & Hiring Manager communication as needed and setting up drug screens.
  • Assist with TA-related projects as needed. This could include assessing opportunities to automate processes and help identify solutions, review HRIS/ATS capability to support the process or if another system solution is required, creating & maintaining training documents, etc.
  • Provide back-up recruiting support for HQ TA as needed. This could include posting requisitions, conducting intakes, reviewing and screening candidates, recommending candidates to Hiring Managers, scheduling Hiring Manager screens and panel interviews, and conducting debriefs.
  • Track and manage ad hoc manual reporting for invoicing, recruitment expenses, and staffing agency contracts.
  • Provide TA/HR team support as needed including helping to schedule/set-up/coordinate team events, meetings, offsites, etc.
  • Other projects as assigned

Education and Experience:

  • High school diploma or equivalent required, Bachelor's Degree strongly preferred
  • 2+ years experience supporting a Human Resources and/or Talent Acquisition Department preferred

Knowledge and Skills:

  • Independent, self-motivated, team player with excellent written and verbal communication skills
  • Highly skilled in organization and prioritization
  • Proficient in Microsoft Office Suite
  • Experience working with an ATS (Applicant Tracking System) and/or related HRIS systems is a plus
  • High level of professionalism, sense of urgency, attention to detail, and demonstrated ability to work underpressure and multitask effectively
