Associate Accounts Payable Manager

Position Summary:

The AP Manager, Associate will support the AP Manager  to ensure the daily operations of the AP process are properly organized and managed. 

Major Duties and Responsibilities:

  • Manage and coordinate the daily, weekly and monthly accounts payable processes including: processing and maintaining vendor invoices, resolution and escalation of invoicing issues, preparation of various accounting and treasury reports and compliance with Company policy and legal requirements.
  • Manages the administration of the Coupa platform and ensures timely flow of invoices ready for payment. Act as Coupa SME (subject matter expert) within the A/P process. Leverages the Coupa platform for reporting and analysis. Ensures integration of payable files to JDE are complete and accurate. 
  • Supports corporate initiatives and projects as assigned by the Director, Finance and Accounting and AP Manager. Will support the efforts of the A/P function for Business Transformation. Focus on continually seeking out process improvement and best practice opportunities, including better use of systems, elimination of waste, enhanced use of technology, and refinement of processes.
  • Develop, train, and A/P staff to achieve individual and department level goals. Set department performance and development objectives.  Ensure team members acquire necessary skills and performance attributes, in line with business and personal development needs.  Drive department objectives and prepare staff annual performance reviews.
  • Monitor the imaging of A/P documents to ensure all documents are imaged and retrievable (within Coupa or JDE). Ensures that all disbursements are properly documented and supported. Provides support for audits conducted by both internal and external sources.
  • Monitor all activities of vendor correspondence within A/P. Partner with Procurement and Supply Chain teams to maintain good relations with vendors by responding immediately to adverse situations, and resolving disputes in payment in a timely manner.

Education and Experience:

Required:

  • Bachelor's degree in related field (finance, accounting, computer systems)
  • Minimum  5 + years  of full cycle A/P experience required, Minimum 2+ years working at supervisor or manager level
  • Must have in depth knowledge of full procure to pay cycle and working knowledge of A/P compliance requirements (eg. 1099 reporting)     

Preferred:

  • Experience working in large ERP system (JDE or Oracle preferred)

Plus:

  • Experience working with Coupa, Concur
  • Experience with foreign currency processing (CAD, MXN, SGD)
  • CAPA or CAPP (Certified Accounts Payable Associate/Professional)

Knowledge and Skills:

  • Ability to perform arithmetical and algebraic calculations to perform A/P activities
  • Ability to understand foreign currency and apply exchange rates
  • Ability to accurately interpret and apply policies, procedures, and GAAP related to A/P activities
  • Proficiency in the use of Microsoft Office products
  • Excellent oral and written communication skills
  • Interpersonal skills necessary to deal courteously and effectively by telephone, in writing, and in face-to-face contacts with employees and or vendors at all levels   
  • Strong customer service orientation
  • Desire to create and implement process improvement initiatives
