Position Summary:
Lead and support system users, as well as the final process steps for payrolls for international locations. Provides direction and assistance to department staff regarding payroll processes. Coordinates the workload of the Payroll department. Monitors staff workload based on input from individual specialists and gives recommendations to the director for final decisions on actual adjustments to workload. Performs all aspects of the payroll cycle, ensuring pay is processed on time, accurately, and in compliance with government, state, and local regulations.
Major Duties and Responsibilities:
- Provide guidance and support on payroll methods and procedures to ensure accuracy and an efficient process working closely with payroll associates to ensure that questions or issues are addressed in a timely manner. Focus on continually seeking out process improvement and best practice opportunities, including better use of systems, elimination of waste, enhanced use of technology, and refinement of processes.
- Manage the month-end close process of payroll processing. This includes the review and posting of journal entries, including but not limited to monthly payroll posting by department, vacation liability accruals, Ontario sick pay adjustments, payroll cash payment/bank recon, reclassifications, and other routine journals as deemed necessary. You will ensure all steps in the month-end close process are completed by each team member. Ensure deadlines are met in the record-to-report continuum.
- Responsible for supervising the payroll process for respective locations from opening a payroll to closing the period. Ensure a timely transmission of the payroll files to ADP for check printing and tax filing and troubleshooting problems.
- Manage the US W-2 Yearly tax filing, ensuring submissions are filed timely. Stay abreast of upcoming government deadlines and filing changes.
- Ensure direct reports acquire necessary skills and performance attributes in line with business and personal development needs. Drive department objectives and prepare direct reports and annual performance reviews.
- Oversee the Mexico payroll process, including local payroll tax filings, meal voucher payments, wire remittance to employees, and employee expense reimbursements (Concur) are filed and paid in a timely manner. Ensure annual Mexico profit-sharing obligations are remitted to employees timely in accordance with Mexican payroll laws.
- Maintain and document necessary payroll rule changes in HRIS system such as changes in payroll schedules and updates in payroll reporting compliance with regulatory agencies.
- Perform additional duties and responsibilities as identified by the Payroll Director including ad hoc projects to support company initiatives.
- Create, maintain, and document necessary payroll desk manuals and standard operating procedures.
- Act as backup to the Payroll Director in his/her absence.
Education and Experience:
- Bachelor's Degree in Accounting or Finance or equivalent experience required.
- Minimum 5 + years of full cycle payroll experience required.
- Must have a working knowledge of payroll compliance requirements.
- Experience informally coaching, leading, and mentoring a group of peers.
- CPP Certificate preferred.
- Ceridian, Workforce Dimensions Timekeeping (UKG), and ADP systems knowledge preferred
Knowledge and Skills:
- Through knowledge of payroll processing requirements and excellent communication skills.
- Ability to perform arithmetical and algebraic calculations to perform payroll activities.
- Ability to accurately interpret and apply policies, procedures, and laws related to payroll activities.
- Proficiency in the use of Microsoft Office products
- Excellent oral and written communication skills.
- Interpersonal skills necessary to deal courteously and effectively with sensitive and confidential issues by telephone, in writing, and face-to-face contacts with employees at all levels.
- Strong customer service orientation
- Desire to create and implement process improvement initiatives.

- Salary Base Range of $98,000 – $120,700 for Employees Located in California
The “base salary range” provided above is a good-faith estimate of what we expect to pay for this position. The range provided is for California-based employees, as Ventura Foods is required by California State Law to post pay rates. Ventura Foods reserves the right to pay outside of the given range based on a variety of factors, including but not limited to candidate skills and experience, complexity of the job, budgetary factors, and location/geography. Ventura Foods conducts regular reviews of compensation ranges and reserves the right to alter this range at any given time.
